There are procedures that need to be followed and documented within any organisation that either has, or is moving towards, an accreditation such as BS EN ISO9000. These procedures may be developed and documented manually using a paper-based system; however, as many companies have found, this imposes a very high overhead of both manpower and associated documentation.

We have designed and produced from scratch a software package aimed at eliminating unnecessary effort and paperwork in the management of an organisation-wide quality system. Quality Manager has been designed as a multi-user, multi-terminal corporate package to be accessed and used by any non-quality staff that the quality team feels is appropriate.

For example, information may be accessed by directors or managers for board/management meetings, etc, and relevant quality information can be entered (with strict security) by appropriate staff; this may be to acknowledge receipt of documents or record actions taken regarding non-conformances, etc. Quality Manager's automation of many of these mundane processes frees up much of the Quality Team's time to manage the quality system.

Benefits are gained by improving and speeding information flow between relevant staff, making quality-related information easily available to key employees, introducing a level of security impossible with a paper-based system and bringing the quality concept to the fore within the organisation as a whole. There are further benefits, including reduction in consumables, centralisation of document management and traceability for all quality-related information.

Quality Manager is very flexible and will interface with, or run alongside, many existing corporate software packages, such as accounts, personnel and stock control systems and common information can be downloaded from these systems if required. Quality Manager may be run alongside an existing paper-based quality system or a document control system based on a stand-alone Windows PC.

In conclusion, Quality Manager is suitable for organisations that already have accreditation and those working towards it. In both cases, Quality Manager will provide improvements in efficiency, traceability and security.
